SLAC Guest Gateway: Guest Registration User Guide

Overview

This article describes the steps the invited Guest must take to complete the registration process after receiving an invitation from their Host. 

Throughout the process, you will receive multiple automated email messages. Check your spam/junk folder to be sure you don't miss them.

Registering after receiving an invite 

  1. Open the invitation email from no-reply@slac.stanford.edu
  2. Click on the "REGISTER HERE" button in the email

  1. Complete the registration process
    • The registration information varies depending on why you are registering and how you answer the questions on the registration flow. 
    • The registration portal is mobile-friendly.

NOTE: Please complete your registration in one session. It is not possible to save a partially completed registration.

4. When you submit your registration, you and your Host will receive a confirmation email. 

5. When your registration has been approved by SLAC Site Security, you will also receive an email with additional details. 
If your Host has indicated you will be visiting SLAC in person, the email will include a QR code. You should present this QR code at the main gate when you arrive at SLAC.
If the Location in the email includes the word "Sponsorship", you will need to complete additional steps as described in the email to obtain your SLAC ID number (SID#). Your SID# will enable you to complete training, obtain a badge, and gain access to SLAC resources (see Obtaining a SLAC ID Number below).

Providing additional information after registration

In some cases, after you submit your registration, the SLAC Security team may request additional documentation or clarification regarding the information you provided. In those cases, you will receive an email from noreply@threatswitch.com.

Please take the following steps:

  1. Open the email and click on the “View Form” button.

 

  1. Click on "Continue".

 

  1. Provide the requested information, then click on the "Next" button.

 

  1. Your information has been submitted, and the Security team will review it. You will be notified when your registration has been approved (see step 5 in the previous section).

Obtaining a SLAC ID number (Sponsorship)

Guests who need unescorted frequent or extended access to the SLAC site or need access to SLAC resources must be sponsored for a SLAC ID number (SID#). A SID# enables a Guest to complete required training, obtain an ID badge (and dosimeter if needed), and acquire a SLAC computer account if needed. Sponsorships are valid for a timeframe set by the Host.

Registering federated credentials

After receiving your approval email above (Subject: SLAC registration approved - Additional steps required), you will receive an email with the subject Action Required: Verify your federated account with SLAC. You must click the link in that email to register a federated identity.

Select your home institution from the list presented after you click the link. Your institution's login screen will be displayed, where you should enter your credentials.

If you are not associated with any of the listed institutions, select "SLAC Guest" from the list. You will be prompted to set up a SLAC Guest federated login and two-factor authentication.

Your federated login will then be linked to your SID#, and you will be able to use it to log into the growing list of SLAC applications that support federated login.

Receiving Your SID#

After you have registered your federated credentials, your registration data will be validated and verified against existing records. Once this process is complete (typically 1-2 hours, if no issues are found), you will receive a "Welcome to SLAC" email with your SID# and additional information.
