Webmail powered by Microsoft Outlook

SLAC IT recommends using SLAC Webmail, powered by Microsoft Outlook. This is the only fully supported email application at SLAC. This requires no setup, is robust in features, is easy to access, and avoids issues with basic and modern authentication. You will not have to worry about patching or installing the latest updates as this is centrally managed. You will always have the most up to date version.

NOTE: If you are new user and have not reset your password, please do so at the SLAC Active Directory (Windows) Password Reset website or SLAC ADFS Password Reset website.

  • You can use a computer or smartphone with internet access and a modern web browser (Chrome, Firefox, Safari, etc.)
  • Go to http://o365.slac.stanford.edu 
  • Enter your SLAC email address (ex. <your_slac_ID>@slac.stanford.edu)

  • You will be redirected to SLAC's login webpage.
    • Your username should already be in the "username" field. If it is not, please enter your SLAC Active Directory (Windows) username.
    • Enter your password for your SLAC Active Directory (Windows) account

  • Upon successfully entering your credentials, you will see a DUO Two-Step Authentication prompt.
    • If you have not enrolled in DUO Two-Step Authentication, you will be prompted to perform a first-time setup.
      • Follow the instructions to complete setup. You will need your cell phone to complete this setup.
      • If you do not have a cell phone or would like to request another method of two-step authentication (USB YubiKey), please contact the SLAC IT Service Desk.
    • If you are already enrolled in DUO Two-Step Authentication, you will be prompted to authenticate using whatever method you have set up.
  • For more information on DUO, please visit SLAC Duo two-step authentication user guide.
  • Upon successful setup or authentication with DUO, you may be asked to "Stay signed in?". Only click yes if you are accessing webmail on your own SLAC computer.

  • You will see the Office365 homepage. There are many resources you can access from this homepage dashboard. However, you will want to navigate to the Outlook icon in the toolbar on the left side of the screen.

  • After clicking on the icon, another tab or window will open and show your SLAC email.

  • You can now use SLAC Webmail!
  • If you have chosen to remain logged-in, you can easily access webmail by going to the link https://outlook.office.com/

Microsoft Outlook application preinstalled on your SLAC computer

These instructions are for (SLAC Employees / Interns) or (Stanford University users with a SUNet ID) who prefer to use the desktop application.

Installing Outlook (if necessary) 

  • Windows: If it is not already installed, you can download and install it yourself from Software Center.

 

  • macOS: If it is not already installed, you can download and install it yourself from Self Service using the following steps.

 

    • Open up Spotlight search by pressing on the keyboard the command button and the spacebar at the same time.

    • Type "Self Service". It should be the first result. If it is not, your computer may not be provisioned properly and will need to be brought to the SLAC IT Service Desk.

    • You will be prompted to log in with your SLAC Active Directory (Windows) username and password.

    • Once you have logged in, look for the search bar in the top left corner.

    • Type "Outlook". Microsoft Outlook should be the first result. While the button says "Open" in this photo, it will say "Install" if the program is not installed. Click the "Install" button.

    • Once the application has installed, follow instructions below on setting up your account.

Using the Outlook Application

Once you have downloaded and installed the Microsoft Outlook application, open the application.

Windows

  • Open the Start menu by pressing the Windows button on your keyboard.

  • Type Outlook. The application should be the first result. If it is not, it likely needs to be installed.

  • You may be prompted to create a new profile at first start. Just click "OK".

  • You may be prompted to connect with your email address. The field should be pre-filled with your SLAC email address. If it is not, enter your SLAC email address (ex. alanctan@slac.stanford.edu) and press the blue "Connect" button.

  • Once your account has been successfully added, you will receive a confirmation. Be sure to uncheck "Set up Outlook Mobile on my phone, too". SLAC does not allow the Microsoft Outlook mobile application to be used. If you want to use email on your phone, we strongly recommend using the webmail method offered above.

  • Your inbox will appear.

macOS

  • Upon first launch, you may be prompted to activate your Outlook license.

  • If prompted, enter your SLAC email address (ex. <your_slac_ID>@slac.stanford.edu).

  • If prompted, enter your SLAC Active Directory (Windows) username and password, and respective two-factor authentication.

  • You may receive confirmation that your license has been applied successfully.

  • You will then be prompted to add your SLAC email account. Click the  "Add" button.

  • When you receive confirmation that your email has been added, click the "Done" button.

Install and Setup on Personal Computers

We recommend that folks with personal computers use SLAC webmail as this is the fully supported email application at SLAC. This requires no setup, is robust in features and is easy to access. You will not have to worry about Cyber Security patching nor installing for the latest updates as this is centrally managed and you will always have the most up to date version. Go https://outlook.office365.com/owa/slac.stanford.edu to and use your SLAC email address to log in. Addition information on access to this resource is described at the very top of this KB article.

Please note that SLAC IT does not support personal devices (computers, phones, tablets).

For SLAC Employees/Interns, and Stanford users with fully-sponsored SUNet IDs, who still want to use the desktop Outlook application - you will need to download the entire Office365 suite.

Windows and macOS

  • Sign in to webmail using the instructions above, then visit aka.ms/office-install
  • Click the "Install Office" button:

Thunderbird

Thunderbird can be configured for use with your SLAC Office365 email using the OWL plugin. Please see KB0011877 for details on installation.

Apple Mail App (iOS [iPhone, iPad] and MacOS [MacBook, iMac])

The Mail app on Apple devices can be configured for use with your SLAC Office365 email. Please see KB0011897 for details on installation.

SMTP, IMAP, POP Protocols

On July 3, 2019, the SLAC Cybersecurity team issued a Memorandum indicating that mail access would be restricted to a few mail applications. In summary, SLAC currently restricts access of SMTP, IMAP, and POP email protocols with SLAC email accounts so that traffic can only originate from the SLAC network. Consequently, those who use these protocols from outside of SLAC are now required to log into VPN first. More information on Thunderbird-specific configurations and general restrictions can be found here.

Basic and Modern Authentication Protocols

Beginning October 1, 2022, Microsoft will enforce modern authentication when you access your SLAC Office365 email. Email clients that use the legacy authentication beyond October will stop working. If you set up your SLAC Office365 email using one of the above methods, your email access uses modern authentication. For more details, please see KB0011889.
