LISTSERV - List Owner Information

 

There are often several ways to do each of the LISTSERV list owner activities. Wherever possible, we will cover both a web and a email suggestion for each of the main list owner common tasks.

Accessing LISTSERV As List Owner

 

Web Method: https://listserv.slac.stanford.edu. Login with your SLAC email address and your SLAC windows password. If you don't have a windows password then you should use your SLAC Unix password.

We have a 1 hour inactivity time-out on the web interface. If you do not make any activity that does a cookie-related transaction for an hour your session will be terminated. E.g. you need to be pressing Save, Update buttons to cause a cookie-related transaction. Simply reading a page or clicking on a tab will not keep your session alive.

Email Method: Send commands to listserv@slac.stanford.edu with the commands in the body of the email. Can be any format but you should remove your signature as it will not be understood as a command.

 

Site Defaults

  • Attachments Allowed - No need to make any adjustments with this parameter. All attachments are allowed already.
  • Max Message size = 5M - This can be changed but keep in mind increasing it is allowing a multiplying factor to disk space usage and ends up costing SLAC more. Best to post the file in SharePoint and send a link via email.
  • Max Messages = 50 - To edit see "Your List is Held" below.
  • Users Get Acknowledgement Of Postings - To edit see "Turning Off Posting Acknowledgement" and "Completely Disabling Ack For Your List" below.
  • Similar Messages Blocked - To edit see "Postings To List Are Rejected As Duplicates" below.

Public = World
Service = SLAC.Stanford.edu email addresses
Private = List members

LISTSERV Archives

https://listserv.slac.stanford.edu. Login with your SLAC email address and your SLAC windows password. If you don't have a windows password then you should use your SLAC Unix password. You can see all lists hosted here. If you see (0 Subscribers) and the description says the membership is created via SQL query then this is by design. List membership are created at the time the message is posted. There is no way to see the list of members manually. You can view archives by clicking on the list. If open to Public you'll see the archives, if not then you will be prompted to login. If the list allows you to view they will be shown to you.

Email Method: Email to listserv@slac.stanford.edu. In the body of the message, type "Index List-name" (no quotes) where "List-name" is the list you want to view the archives index for. LISTSERV will then send you a message with the archives lists categorized by filetype in the form of LOGXXXX (LOG-YEAR-MONTH). All archives are grouped by month. For instance, LOG1208 corresponds to the archives for Year 2012, Month of August.
 

Next, you need to send another email to listserv@slac.stanford.edu to ask for the actual archived messages for the month you're interested in. In the body of the message, type for example "Get List-name LOG1208" (no quotes). This means you're asking LISTSERV to send you the archived messages for your list that took place in Year 2012, Month of August.
 

Note: If you want to ask for the archives for multiple months in one email to LISTSERV, you may repeat the same command one line at a time. For instance, if you want the monthly archives for year 2012, months June, July and August, type in the body of the message:

See Who Is Subscribed To List

Web Method: https://listserv.slac.stanford.edu. Login with your SLAC email address and your SLAC windows password. If you don't have a windows password then you should use your SLAC Unix password.  Select your list from drop-down list; select List Management; select Subscriber Reports.
 
 

Subscribe One or More Email Addresses to Your List

 
Web Method: https://listserv.slac.stanford.edu. Login with your SLAC email address and your SLAC windows password. If you don't have a windows password then you should use your SLAC Unix password.  List Management menu; then Subscriber Management. If you have more than a few lists then you should choose the appropriate group under the Select List menu. Then press down arrow in Select List: and select the list you want to manage.

Adding One Subscriber: Go to the "Add New Subscriber" box and enter email address in one of the formats shown. It is best to include the name at this point [example: alanctan@slac.stanford.edu (Alan Tan)]. Choose whether you want to notify the new member or not and then press the Add button just below.

 

Adding Many: Select the Bulk Operations tab. It is expected you will have a text file with all the new subscribers ready. It can be one email address per line, preferably followed by person's name enclosed in parenthesis. Browse to the file and press Import button.

Email Method: Tell person(s) to send an email to listserv@slac.stanford.edu with the following in the body. Note: the <> brackets are not entered.

SUB <listname> <firstname> <lastname>

Example:

SUB my-list-l John Doe

Depending on how the list is configured either the list owner or subscriber (or neither) will get an email with a link to click to complete the subscription.

Owners will need to use the following command:

ADD <listname> <email_address (First_name Last_name)>

Example:
 
ADD my-list-l johndoe@slac.stanford.edu (John Doe)
 

Unsubscribe One or More Email Addresses from Your List

Web Method: https://listserv.slac.stanford.edu. Login with your SLAC email address and your SLAC windows password. If you don't have a windows password then you should use your SLAC Unix password. 

Deleting One Subscriber: Go to the "Examine or Delete Subscription" box and enter email address in one of the formats shown. Press the Search button. Choose whether you want to notify the new member or not and then press the Delete button just below.

Deleting Many: Select the Bulk Operations tab. It is expected you will have a text file with all the to be deleted and/or new subscribers ready. Your List is Held

 

Web Method: https://listserv.slac.stanford.edu. Login with your SLAC email address and your SLAC windows password. If you don't have a windows password then you should use your SLAC Unix password. List Management menu; List Configuration; Alphabetic Keyword List; if you have more than a few lists then you should choose the appropriate group under the Select List menu. Then press down arrow in Select List: and select the list you want to manage. Click on Daily Threshold; edit the number; press Save. Now free the held messages. List Management; LISTSERV command. You should still be on the same list. Click the Free <listname> link under the Useful Commands header.

 

Turning Off Posting Acknowledgement

 
 

Completely Disabling Ack For Your List

 

Web Method: https://listserv.slac.stanford.edu. Login with your SLAC email address and your SLAC windows password. If you don't have a windows password then you should use your SLAC Unix password. List Management menu; List Configuration; Manual List Configuration. Depending on your list configuration you may have to change the Default-Options line from Ack to NoAck or change the Ack=Yes line to Ack = No. That takes care of all future subscribers. To edit for all existing subscribers type this in one of the LISTSERV Command windows: QUIET SET <replace with list name> noack FOR *@* (don't include the angle brackets)

 

Authorizing Who Can Send Email to Your List

 
There are several different scopes for controlling who can post to lists. Most common three are: 
1) Public (anyone can post); 
2) Service (slac.stanford.edu email addresses can post); and 
3) Individually listed email addresses. 
4) You can also limit to members of another list by putting that list in parenthesis (e.g. Send = (AD-ORG))

If you don't have a windows password then you should use your SLAC Unix password. List Management menu; List Configuration; Alphabetic Keyword List; choose the appropriate group under the Select List menu. Then press down arrow in Select List: and select the list you want to manage. Click on Send. If individual email addresses are listed here then you can add/remove as needed; press Save. If you want to open more then you can change Send parameter to Public or Service. 
 

Postings To List Are Rejected As Duplicates

 
As a spam prevention measure our lists do not allow "similar" messages to be posted. For some lists this is inappropriate and can be disabled. Web Method: List Management menu; List Configuration; Manual List Configuration; choose the appropriate group under the Select List menu. Then press down arrow in Select List: and select the list you want to manage. Very carefully add the following command to your list "headers" as a new line right after the .HH ON line: LoopCheck = NoCRC Do not touch any other lines. Press Save.
 

Deleting Inappropriate Messages from Archives

 
List owners are expected to keep any inappropriate/spam or sensitive material out of the archive files. You can delete them by going to the Archives file, finding the message and pressing the Trash Can button. Confirm you want to delete and it will be purged immediately.

Email Error Report

If you, as list owner, get an email with subject of "error report from LISTSERV.SLAC.STANFORD.EDU" then you should open it. This will inform you of invalid email addresses on your mailing list. However, by default LISTSERV will remove invalid email addresses after they fail several times.

Enabling Digests for Your List

Please contact mail-admin@slac.stanford.edu to set this up. Once enabled then your users can choose this option via the "set <listname> digest" email command to listserv@slac.stanford.edu .

Editing List Banners

Web Method: https://listserv.slac.stanford.edu. Login with your SLAC email address and your SLAC windows password. If you don't have a windows password then you should use your SLAC Unix password. List Management; List Configuration; List Configuration Tasks; Banners tab. You can click on both BOTTOM_BANNER and BOTTOM_BANNER_HTML and edit as you like.

Opening List for Public Subscriptions/Postings

Web Method: https://listserv.slac.stanford.edu. Login with your SLAC email address and your SLAC windows password. If you don't have a windows password then you should use your SLAC Unix password. List Management; List Configuration; Manual List Configuration. Carefully delete the Service = slac.stanford.edu line. Also, edit the Confidential line to be Confidential= No, change the Send= line to be Send= Public and press Save.

Limiting List to SLAC-only Subscriptions/Postings

List Management; List Configuration; Manual List Configuration. Carefully edit the Confidential line to be Confidential= Yes and add the Service line so it says Service= slac.stanford.edu, change the Send= to be Send= Service and press Save.

Configuring Moderated Lists

Web Method: https://listserv.slac.stanford.edu. Login with your SLAC email address and your SLAC windows password. If you don't have a windows password then you should use your SLAC Unix password. List Management; List Configuration; Alphabetic Keyword List. Choose Send from the list. Change "Send=" to Editor, Select "Confirm", Select "Only Non-members confirm" and press Save. Select "Hold" and press Save. This says that non-members will have to confirm their postings (prevents spam) and the Editor will get an email for each posting and can simply click on the link in the message to allow it to be posted to list. Once approved by Editor, the message will be delivered to the list within about 10 minutes.

Using SQL Queries For List Membership
