Using upgraded conference rooms for hybrid meetings

Updated conference rooms and instructions
To support SLAC’s Future of Work initiative and the hybrid work environment, SLAC IT has upgraded the following centrally managed conference rooms.For instructions on using the equipment in these conference rooms, please click on the link for each room.
- Berryessa (Building 053, Room 2002)
- Kings River (Building 52, Room 306)
- Napa (Building 41, Room 1158)
- Redwood A/B (Building 048, 112A/112B)
- Redwood C/D (Building 048, 112C/112D)
- Sonoma (Building 41, Room 2162)
- Sycamore (Building 40, Room 195)
- Toluca (Building 53, Room 4002)
- Tulare (Building 53, Room 4006)
- Trinity (Building 53, Rm 1350)
These rooms have been updated by adopting Stanford UIT AV group conference room standards. Although there are unique capabilities in some rooms, equipment and operations will have a consistent look and feel.
Conference room features
Each of these conference rooms have the following features.
- Zoom integration
- Outlook integration
- Two large LCD monitors
- Cisco tablets for meeting access, screen sharing and camera control
- Front cameras for full room view (all conference rooms)
- Sycamore has an additional podium view camera.
- Upgraded room microphones
- HDMI/USB-C cables for sharing content from your endpoint
Scheduling rooms for hybrid Zoom meetings
To schedule these rooms for hybrid Zoom meetings, simply add the conference room as a participant in your SLAC calendar Outlook meeting invite. Be sure to add your Zoom meeting invitation by copying and pasting the Zoom meeting link into your Outlook event description or by using the Outlook Zoom plugin to “Add a Zoom Meeting”. (Other video conferencing tools are not supported, such as Teams.)

Running your meetings
When you start your Zoom meeting the participants will automatically show up in the gallery view on the left display. The in-room attendees will be visible to all Zoom participants. Any Zoom shared content will appear on the room’s right side display.
