Auditorium Booking

Kavli Auditorium is not a self-service room. Audiovisual technicians are required to operate the room’s audiovisual system, and you may be charged for audiovisual services depending on the requirements of your event.

To reserve this room, please complete the Auditorium booking request form with details about your event. Once you have submitted the form, we will review your requirements and may contact you with any questions and an estimate of audiovisual service costs if applicable. Regardless, you will receive an email when your event is confirmed.

Returning the room: Please leave the room in exactly the condition you found it. By using the auditorium, you are responsible for arranging any out-of-the-ordinary cleaning. If the room is left in poor condition due to food, drink, or any other reason, janitorial services will be called, and the cleaning fees will be charged to the account number you provide on your audiovisual services request.

Services offered in the Auditorium

The audiovisual team can provide auditorium support for meetings, public lectures, and workshops.

The audiovisual team can provide camera operation, microphone support, and presenter/presentation transitions. Presentation and technical dry runs are provided upon request and must also be scheduled. We recommend the dry runs be performed at least 48 hours prior to the event.

To operate Kavli, a minimum of 2 AV techs will be required. A minimum charge of 4 hours per junior technician will be applied.

Junior technicians will be appointed at the discretion of the AV team upon availability.

Conference room meeting support

How to book a meeting: Users should first check to see if the room is available through the Outlook calendar. If available, the user should book the room. Some rooms require approval from the room administrator. Once the room is reserved, the user should proceed to the Conference room meeting support request form if meeting support is required.

Services offered with meeting support request:

  • 30/30: AV team will provide setup 30 minutes prior to the event and will stay for 30 minutes after the event has started.
  • Full Service: AV team will provide a technician to monitor the entirety of the event. Charges will be applied to the provided PA code per technician requested.

Conference room equipment support

AV Team responsibilities: The AV Team is responsible for the maintenance of all centrally managed conference rooms. These centrally managed conference rooms are bookable by anyone in the lab for use. All centrally managed conference rooms can be found on the meeting room road map.

Conference room upgrade consultation

The SLAC AV team can provide professional consultation for your conference room upgrades upon request. Meet with our team and get recommendations for SLAC approved audio/video equipment to meet your department’s presentation and collaboration needs.
